Our 14-day methodology

Days 1–3: Pipeline mapping. We shadow your sales calls, audit your current tools, and document the actual revenue flow — including the gaps you've been working around manually.

Days 4–9: Build. Stages, fields, roles, integrations, routing rules, and the first nurture sequences. Daily sync so nothing gets built in isolation.

Days 10–12: Migration and QA. Data comes in clean. Every automation runs end-to-end in a staging environment before a single lead hits production.

Days 13–14: Launch and train. Team walkthrough, SOPs, dashboard handoff. Then 30 days of direct Slack access to the build team.

Integrating with the tools you already run

Most of the value sits in the connective layer, not the CRM itself. We wire web forms, calendars, phone and SMS, email, ad platforms, payments and billing into one flow, and we decide in writing which system owns which record before building — usually the CRM for contact and pipeline data, the operational system for transactional records.

You keep your platform. We only recommend migrating when the tool genuinely can't support what you need, and we give you the reason in the audit.

No API? Three fallbacks. Webhooks first, then a thin middleware service that holds the mapping, then scheduled export ingestion for legacy systems. If none of those exist we tell you it can't be automated rather than shipping something fragile.

Migration is its own phase. Fields mapped, phone numbers and emails normalised, deduped on a deterministic key, imported to staging for spot-checks before production. Your old system stays readable until you sign off.

What happens when a sync fails

Silent failure is the real risk — a stopped job looks exactly like a quiet day. Integrations are built as durable queues, not fire-and-forget calls. The lead is written to your database first, then every side effect is enqueued with a status and retried on a backoff schedule. Exhausted items are flagged, never dropped, and a watchdog alerts a human when a job goes quiet.

Every automated action is logged with its timestamp, trigger, payload and outcome, so months later you can answer whether a lead was contacted, when, and with what. Duplicates are handled at entry — normalised keys, server-side validation, merge instead of insert — not in a monthly cleanup.

Ownership, documentation and cost

You own everything. Built in your accounts, on your credentials, under your billing. Handoff includes SOPs for every stage, routing rule and integration endpoint, plus a recorded walkthrough and a map of where each automation fires.

Your team can run it. Teams with an ops person maintain it themselves; a monthly retainer is there when you'd rather we watch it.

Total cost. $3,500 – $12,000 one-time for the build, plus your own platform and API subscriptions paid directly to the vendors — typically $100 – $500 a month for a small team. Both numbers are on the table before you commit.
